Once your venue is chosen, focus on planning a great fundraising event to meet your expectations in both attendance numbers & funds raised for your chosen charity. Here are 7 tips to help with your planning... enjoy! :-)

1. Set a goal

When putting together a team to assist in planning a fundraising event, it’s important to set clear goal/s that everyone agrees on. Is the purpose of the event to raise money, or to boost general awareness of your chosen charity? Or perhaps to make more meaningful connections in a networking environment? Let’s say your primary goal is to raise money - how much is ideal? By creating a tangible number, this will help assist & guide the process.

2. Define your target audience

Defining your target market prior to planning the event is pivotal in guaranteeing a large audience & ample opportunities to network with the right people, fit for your organisation. Depending on your demographic, then you can create a theme, entertainment/attractions, invitations & gifts, accordingly. Plus, figure out how to attract your target market in the most efficient way possible.

3. Provide an incentive

People like incentives, especially if involving a fundraising event ticket (which may be pricey depending on the organisation & demographic). Offering a discount, gift bag, free raffle ticket entry, or early-bird special might help generate sales, paving the way for future interest at full price.

4. Follow up with attendees

The work doesn’t stop once the party ends! To throw a successful fundraising event, it’s important to get in touch with guests after the event, by way of a thankyou note, follow up email, or phone call. Not only will this create opportunity to gain more face-time in the future, but also shows you appreciate their generosity. Be sure to thank all auction donations & food or other event sponsors, if these have been included at your venue.

5. Set a budget

When hosting a fundraising event, a clear budget is essential & to execute caution when you’re on the fence regarding a certain vendor, venue, or entertainment expense. To avoid going over what you can realistically afford, keep tabs on the costs of necessities & prioritise event features when due. You can still plan a classy, high-quality fundraising event on a more moderate budget.

6. Have a great theme

While you can always go with the theme of your organisation or chosen charity as it’s most logical for the cause & audience, there are ways to have fun & amp up the décor, entertainment & food with smaller details in order to provide a memorable & inspiring experience. Having a photo booth, pampering station, networking lounge areas or a guest speaker, a raffle/prize draws, or live charity auctions can be useful in making the event a huge success.

 

7. Market your event in advance

Using marketing techniques when planning an event can really raise awareness & donations before the main event itself even begins. Plus, it’ll most likely help to increase ticket sales, creating interest among those within your demographic. Use print & digital ads, social media ads & postings, crowdfunding strategies, & leverage off of ticket sale websites to help spread the word.
